Protocols for Use of the
Ontario Animal Agriculture Photograph Library

Introduction
The Ontario Animal Agriculture Photograph Library was created by a partnership between the Ontario Farm Animal Council, Ontario Cattlemen's Association, Chicken Farmers of Ontario, Ontario Pork, Ontario Egg Producers, Ontario Veal Association, Ontario Turkey Producers' Marketing Board, Dairy Farmers of Ontario, Ontario Sheep Marketing Association and Ontario Goat Breeders' Association. OFAC facilitated the administration of the project and funding for the Animal Agriculture Photograph Library was provided by each of the partner groups listed above along with a $30,000 grant from the Agricultural Adaptation Council.

Terminology
Throughout the protocols the Ontario Farm Animal Council will be referred to as OFAC, the commodity organizations will be referred to as partners. The Ontario Animal Agriculture Photograph Library will be referred to as the "Library"; specific photographs will be referred to as "images". The Agricultural Adaptation Council will be referred to as AAC.

Purpose of the Library
The purpose of the library is to provide accurate, up to date photographs of animal agriculture for educational purposes to three target groups defined as:

a. Agriculture organizations
b. Media
c. Educators

Purpose of the protocols is to establish:

I. Library access and use guidelines
II. Distribution and tracking guidelines
III. Recognition of funding guidelines
IV. Protocol review guidelines

I. Library Access & Use Guidelines

    a. Partners and Agriculture Groups:

i. The commodity partner groups that provided funding to the project have full access to the images of their specific commodity.
ii. Each partner group will be provided with the commodity specific images in digital form and when possible in transparency form.
iii. Partner groups may use the images for printed educational or printed promotional uses, or their organizations website provided the low-resolution requirements (25KB or less) are met.
iv. Partner groups that produce for profit publications/magazines may use the images in those publications at the same usage rate as stated in Section 1.b.v (Media use).
v. The partner groups may not use the images for any purpose other than educational or for their own organizations promotional pieces or publications.
vi. Images used by partner groups on websites must be at a low resolution (25KB or less), resulting in poor quality if reproduced in print.
vii. Partners may access and use other partner images upon approval of all parties.
viii. Partners should make the effort to not "overuse" the images, when using them in their own publications.
ix. OFAC will have access to entire collection of images and will have a copy of each image in both transparency and digital form.
x. OFAC may use the images in any printed educational resource and on its website provided the low resolution requirements (25KB or less) are met. OFAC may post images at higher resolutions for up to one week to facilitate downloading of a requested image.
xi. Limited access to specific images will be granted to other agricultural organizations on request to OFAC, for educational, non-commercial use as deemed by OFAC.
xii. Any usage of the images by groups other than the partners or OFAC must credit the image to: OFAC Animal Agriculture Photograph Library.

    b. Media:

i. Farm media and mainstream media will have limited access to specific images that may be of use to compliment a balanced story about animal agriculture and related practices.
ii. Any usage of the images by media must credit the image to: OFAC Animal Agriculture Photograph Library.
iii. Media must supply OFAC with a tear sheet each time an image is used.
iv. Images are supplied to the media on a one-time use basis, to re-use the same photograph, the media must ask for permission each time.
v. Media publications may use Library images at the following usage rates:
  - Daily media: maximum of 10% of the issues/publications produced annually
  - Weekly media: maximum of 15% of the issues/publications produced annually
  - Monthly media: maximum of 20% of the issues/publications produced annually
vi. Media may not use the images for reproduction on any website unless OFAC has approved the posting at the low resolution (25KB or less) requirement.

    c. Educators:

i. Elementary educators will have access to requested specific images (example a beef animal at 3 different stages of life) to assist in teaching about farm animals and agriculture.
ii. Images will be for the personal educational use of each educator and may not be reproduced for purposes other than classroom use.
iii. Images may not be used in educational resources produced by private groups for profit, other than partner groups.
iv. Any reproduction of the images must credit the source to: OFAC Animal Agriculture Photograph Library.

    d. Other:
i. The images of the library will not be mass distributed to any group or organization beyond the partner groups and OFAC.
ii. Only specific images may be provided and appropriate credit is must be given to the OFAC Animal Agriculture Photograph Library.
iii. OFAC reserves the right to refuse lending the images to any organization or individual other than the partners.
iv. Individuals and groups may only use the photographs for educational purposes, and OFAC has the right to verify the intentions of the use of the photograph before distributing it.
v. Images may not be sold for any purpose, though cost of reproducing and shipping the image may be recovered.
vi. Private companies wishing to use the images for agricultural educational purposes must be an OFAC member and must agree in writing to provide free copies of the educational resource to OFAC and/or its partners on request.
vii. Images used for partner groups by public relations firms, marketing companies or printers may not be re-used in any other of their clients' materials.
viii. Every attempt will be made to not provide images to individuals or groups whose intention is deemed to be unfairly negative towards animal agriculture.

II. Distribution and tracking guidelines

a. Hosting: OFAC will physically host the entire Library and will also have selected images in digital form.
b. As the host of the Library, OFAC will coordinate the lending of images.
c. Any requests received by partners from third parties should be forwarded to OFAC. This will allow OFAC to track usage as required by the AAC agreement.
d. Images will be sent in the appropriate format based on the requirement of the user.
e. Any images that may be deemed sensitive or internal use only; will not be lent out without previous permission granted by both the partner commodity group and OFAC. It is the responsibility of the partner group to designate to OFAC which images would fit the sensitive usage category.
f. Any internal use of the photographs by partner groups in educational or promotional pieces must be reported at least twice annually to OFAC, for usage tracking.
g. OFAC will provide usage data of the library to each partner group and AAC annually.

III. Recognition of Funding

a. Groups and individuals using the images should make every effort to recognize that the Agricultural Adaptation Council in partnership with Agriculture and Agri-Food Canada funding made possible the Animal Agriculture Photograph Library.

          

IV. Review of Protocols

a. OFAC and partners will review and if necessary change the protocols for use of the library periodically.
